Contacts / Employees

A published guide from Survanta's public documentation.

Contacts / Employees

Overview

The Contacts / Employees directory holds the people your organization works with: employees, customers, members or any other audience. Each organization's directory is private to it. Contacts can be organized into optional Groups and described with optional Custom Fields.

The Six Built-In Fields

Field Excel column Required
Email Email Yes
Name DisplayName No
Phone Phone No
Employee Number ReferenceCode No
Job title JobTitle No
Notes Notes No

Only Email is required, and a Contact with an Email alone is valid. Email is unique within your organization, including inactive Contacts.

Groups

A Group is a named collection of Contacts, such as a department, team, branch, project, mailing cohort or event. Groups are optional: a Contact can belong to zero, one or many Groups, and no default Group is ever forced. All Contacts is a dynamic selection of every active Contact, not a Group. Group codes are stable, so workbooks and filters keep working when a Group is renamed.

Custom Fields

A Custom Field records one value per Contact, such as Department, Branch, Grade or Region. The types are Text, Number, Date, Yes / No and Single choice. No Custom Field is required. Your organization can hold 5 Custom Fields by default; the Platform administrator can set 0 to 10 for your organization. This capacity is a technical setting, not a plan limit.

Groups Versus Custom Fields

Groups and Custom Fields are independent. Use a Group to select people together, for example everyone invited to an event. Use a Custom Field to record an attribute, for example each person's Grade. Joining a Group never creates, requires or fills a Custom Field, and the product forces neither choice.

Plan Limits

Limit What it counts
Contacts / Employees Active Contacts
Contact Groups Active Groups

Groups include up to 100 Contacts per Group at no extra charge. This allowance comes with every Group; it is not a separate option and is never bought.

  • Contacts / Employees = 0 means the directory is not included: its pages are hidden, and nothing can be created, imported or exported.
  • Contact Groups = 0 means Contacts are kept without Groups. Existing memberships are kept and shown read-only.
  • Contact Groups and Email sends both require Contacts, so a Custom Plan with either above zero must also include Contacts.

At a limit, existing records stay viewable, editable and exportable; only new or reactivated records beyond it are refused. Lowering a limit never deletes Contacts, Groups or memberships. See Contacts & Communications Limits for the values in each plan.

The Groups pages appear only when Contact Groups are included in your plan.

Permissions

  • View directory opens the list pages.
  • Manage directory adds, edits, deactivates, imports and configures Contacts, Groups and Custom Fields.
  • Exporting current Contacts needs View directory and Export responses together. Neither alone is enough.

Security

  • Every read and write is limited to your own organization; a Contact, Group or Custom Field of another organization can never be referenced.
  • Uploaded workbooks must be .xlsx files of up to 10 MB, without macros, cell formulas or external references.
  • Previews and error workbooks are protected, belong to the person who uploaded the file, and expire after a short time.
  • Exported text is always written as text, so a value can never run as a spreadsheet formula.
