Manage Users — Tenant Admin

Overview

Tenant Admins can invite, edit, deactivate, and manage users within their organization. All user management is strictly scoped to the current tenant — Tenant Admins cannot view or manage users from other organizations.

Inviting a New User

  1. Open the tenant invitation/user-management surface from Users.
  2. Click Create Invitation or the equivalent invitation action.
  3. Optionally restrict the one-time code to the intended email address.
  4. Select one assignable tenant permission group and, when exposed, the allowed access channel. Tenant Admin invitations cannot create another Tenant Admin.
  5. Choose the expiry within the allowed bounds and create the invitation.
  6. Copy the raw invitation code from the one-time result and deliver it privately to the intended person.

If an intended email is supplied, the service sends a best-effort notice that an invitation was issued, but it deliberately does not include the raw code. The recipient registers through the dashboard invitation form with the code, identity/contact fields, active country, and password. Successful dashboard registration sends an account-verification OTP; the user verifies that OTP before normal sign-in. The invitation record remains Active until it is used, revoked, or expires; it is not a pre-created Pending user account.

At consumption time Survanta rechecks that the tenant is active, the issuer remains authorized, the offered group is still safe/assignable, any intended email matches, the one-time code is still active, and the tenant has a free MaxUsers seat. The code is atomically claimed so concurrent use cannot create two accounts.

Editing a User

  1. Click the user's name in the list.
  2. Update the display name or email address.
  3. Click Save Changes.

Assigning or Changing Permission Groups

  1. Click the user's name.
  2. In the Permission Groups section, add or remove groups.
  3. Click Save.

Changes take effect immediately on the user's next page load.

Deactivating a User

  1. Click Actions → Deactivate on the user.
  2. Confirm the deactivation.

A deactivated user can no longer log in but their data and contributions are preserved. Use this when a user leaves the organization or for account suspension.

Reactivating a User

  1. Filter the user list to show Inactive users.
  2. Click Actions → Activate.

User Limits

The number of active tenant users is enforced by the subscription entitlement MaxUsers. Invitation creation may still be possible, but registration/consumption fails if adding the user would exceed the active-seat limit. Submit a commercial limit-increase or plan-change order from the billing/subscription surface when more seats are needed.

Important Notes

  • Tenant Admins cannot assign System permission groups to users — only Tenant permission groups.
  • A Tenant Admin cannot remove their own admin permissions.
  • Invitations are one-time hashed codes; any issue notice is best effort and never contains the raw code. There is no bulk import feature.
  • Tenant users belong to one tenant. An eligible, confirmed Website-only identity can be reused during invitation consumption and converted to the tenant account category, so the identity store is shared even though tenant ownership remains singular.
